Making Employee Sports Events Actually Work

A company wanted to boost employee engagement with sports events like badminton leagues and weekend runs. It sounded great in theory, but in practice it was a mess.

Registration was done through email and shared spreadsheets, events got overbooked, and people often showed up to find no spots left. HR had no clear idea which events were working and ended up spending way too much time manually managing what should have been a simple perk.

What We Built

We built an Event Management System on the Power Platform to handle everything from registration to analytics and make it easy for employees to sign up while giving HR real visibility.

PowerApps became the employee-facing side where people could browse events, see available spots in real time, and register with a few taps or join a waiting list if an event was full.

Behind the scenes, Dataverse kept all event data in sync, including registration details, capacity limits, and participant history.

Power Automate handled confirmations, waiting list updates, cancellations, and reminders so HR no longer had to spend hours manually managing events.

For HR and organizers, we built Power BI dashboards showing popular events, participation rates across departments, registration patterns, and attendance trends so they finally knew what employees actually wanted.

How It Turned Out

Registration errors disappeared — no more double bookings or people arriving to full events. HR reduced admin time by around 60%, and participation increased because signing up became simple and fast.

Using the new data, HR started planning smarter by cutting unpopular events and adding more of what employees actually cared about.
